Hours : Full Time – 35 hours a week
National Family Mediation, the family mediation specialists, are looking to recruit an Office Manager to join their team.
The Office Manager will be responsible for co-ordinating the delivery of family mediation services and other projects across a wide geographic area. They will also provide Office Management functions and support the Chief Executive in managing procedures for all areas of work within National Family Mediation.
They will supervise and support a team of administrators including undertaking regular 1:1 meetings with the team.
The postholder must be able to work independently and have a good working knowledge of electronic and paper-based office procedures. All national office staff are expected to be willing to be the first point of contact for all NFM enquiries, and to respond to all enquiries in a courteous, knowledgeable and efficient manner.
Key Responsibilities
- Co-ordinating the delivery of family mediation services and other projects across a wide geographic area together with the team of mediator administrators
- Providing first point of contact for the general public and members – telephone and email enquiries
- Directing the general public, members and all enquirers to the relevant person or body to assist with their enquiry
- Responding appropriately to complaints in accordance with our procedure
- Provide supervision and support to the administration team, including undertaking regular 1:1 meetings with the team and conducting personal development reviews
- Training of new staff in the systems and processes
- Coordinating ongoing training sessions with staff to ensure that there is a consistent approach in working practices
- Maintaining and developing all systems relating to the national office activities including diary management and follow up correspondence with the aim of facilitating the smooth running of the office
- Developing good working relationships with all our stakeholders and contractors including our mediators, venue providers and external organisations
- Co-ordinating all electronic and paper systems to ensure streamlined operations
- Reporting to the CEO in the development and expansion of the national service
- Contributing to the development of integrated streamlined systems
- Ensure day to day functioning of the national office
- Providing general secretarial/administrative support to other NFM staff when required
- Contributing to the strategic development of the organisation
- Working with outsourced IT specialists
- Filing and archiving (both electronic and paper)
General Responsibility
To follow all NFM’s policies and procedures
Other Duties
To assist with other tasks as reasonably requested by the organisation, including assisting the national office staff with other projects as relevant and necessary.
Person Specification
Essential
- Comprehensive administrative skills including the ability to co-ordinate multiple strands, such as clients, mediators, venues facilities and projects.
- Ability to manage a team of administrators.
- Be capable of working independently, using own initiative and responding speedily to enquiries.
- Experience of solving day-to-day office facility problems in a practical and flexible way.
- Ability to plan, organise and prioritise own work, and that of administrators, within strict timescales.
- Good verbal and written communication skills and ability to respond to members of the public in a courteous, knowledgeable and efficient manner and to maintain good working relationships with NFM staff, mediators and stakeholders.
- Sound knowledge of the development and implementation of office administration practices and standard operating procedures.
- Experience of a customer-focused, services-selling, department.
- Experience of producing high-quality work and maintaining productivity and accuracy.
- A good understanding of the effects of separation and divorce and the services that NFM and it’s members provide.
- Extensive experience in the use of Microsoft applications,
- Ability to work as part of a busy team.
- An ability to remain calm when under pressure.
